This is the part most comparison articles skip, and it is the part that decides your bill.
Rediffmail Enterprise is priced per year with pooled storage. You buy a storage bucket — 1 GB, 5 GB, 30 GB, up to 1 TB — and your mailboxes share it. A ten-person team where two people are heavy email users and eight are light uses that pool efficiently. The same team on a per-user platform pays ten times the per-user price whether or not those eight people ever fill their quota.
Zoho, Google and Microsoft are priced per user per month. Predictable, and the cost scales in a straight line with headcount. Add a person, add a licence.
So the honest rule of thumb: below roughly ten mailboxes with modest storage needs, pooled storage usually wins on cost. Above that, or where people need real document collaboration, per-user platforms earn their price.
Plans run from Starter 1 GB at ₹460 a year to Premium Plus 1 TB at ₹15,600 a year, with 2 GB, 5 GB, 10 GB, 30 GB, 50 GB and 100 GB tiers in between. Every tier includes email on your own domain, real-time IMAP sync with IDLE, rBol messenger, and audio and video conferencing licences.
Pick it if: you want professional email on your domain at the lowest annual cost, you already use separate tools for documents and files, and pooled storage suits how your team actually works.
Do not pick it if: your team needs a shared document suite, or you expect to grow past a few dozen mailboxes quickly. You will end up migrating, and migrating email is never free even when we do it for you. See the full Rediffmail Enterprise plans and pricing.
Four tiers, all billed annually: Mail Lite at ₹59, Workplace Standard at ₹99, Mail Premium at ₹199 and Workplace Professional at ₹399 per user per month. Monthly billing is available on Standard (₹129) and Professional (₹489); Lite and Premium are annual only.
Mail Lite is ad-free email on your domain. The Workplace tiers add Zoho document, spreadsheet, presentation and chat apps — a genuine alternative to the Google or Microsoft suite at roughly a third of the price.
Pick it if: you want the best value per user in India and you are not locked into Office file formats or Google Docs collaboration habits.
Be honest with yourself about: whether your team will actually switch. If everyone lives in Excel with heavy macros, Zoho Sheet will frustrate them and you will have paid for a migration nobody uses. See Zoho Mail pricing for India.
Business Basic starts at ₹145 per user per month billed annually (₹174 month-to-month) and gives you Outlook, Exchange email on your domain, Teams, and the web and mobile Office apps. Higher tiers add the desktop Office applications and advanced security.
Pick it if: your team already works in Outlook and Excel, you exchange Office files with clients daily, or a customer or compliance requirement names Microsoft specifically.
Watch out for: Business Basic has no desktop Office apps. Teams who assume otherwise are unhappy on day one. Check the tier before you buy on the Microsoft 365 plans page.
Business Starter is ₹160.65 per user per month billed annually, or ₹193.38 month-to-month, with 30 GB pooled storage per person. Standard moves to 2 TB at ₹864 annually (₹1,040 monthly), and Plus to 5 TB at ₹1,700 annually (₹2,050 monthly).
Pick it if: your team already runs on Gmail, Docs and Meet and switching would cost more in disruption than the licence saves.
Worth knowing: the Starter tier 30 GB fills faster than people expect once Drive and Gmail share it. If you store files in Drive, budget for Standard. See Google Workspace pricing in India.
